Administrators can filter users and their profiles.

To view the users list

  1. Point to Admin, then click Security.
  2. Click the Users tab.
  3. Click the Users, Guest Users, or FS Users sub-tab.

Users

Enter a User NameFull Name, or select a Profile Name or Profile Type, then click Go to filter the users. To include in the search users who are no longer active, select the Include Inactive Users option. A D displays in the grid beside the users who are inactive.

On this tab you can add new userse-mail users, delete user information, export the grid, or print a list of users. 

Guest Users

Guest users are not in the database, but have given or registered for an event. 

Enter the Full Name of the guest you want to search for, then click Go

Tip

To only display potential matches for your search, select Show Potential Matches Only.

To include inactive guest logins, select Include Inactive Users. A D displays in the grid beside the users who are inactive.

You can select how many users display by selecting a number from the Records Per Page drop-down list. The available options are: 50100, and 500.

If a Guest User matches a record already in your database, a View Matches button displays for the entry. To view the potential matches and merge the records, click View Matches. For more information about merging users, see Filter Users and their Profiles.

To link a user to your database, click Add to ACS. You can select to:

  • Add as a new family – Select this option to create a brand new family record for the guest user. For more information about this process, see Filter Users and their Profiles.
  • Add to an existing family – Select this option to select an existing family record in your database to link the guest user to. For more information on this process, see Filter Users and their Profiles
  • Merge with an existing individual – Select this option to select an existing individual record to merge the guest user information with. For more information on this process, see Filter Users and their Profiles.

You can also e-mail a guest user, delete guest user information, export the grid of guest users, and print the grid of guest users. 

Unauthenticated Users

Individuals who register for an event or give a gift without creating an account are known as unauthenticated users. To help identify unauthenticated users quickly, two symbols display on the Guest User page.

  • The ‡ symbol  When the ‡ symbol displays to the left of a guest user name it means the individual decided to proceed in the online giving or event registration process as an unauthenticated guest user instead of signing in to Access ACS.

  • The  symbol – When the  symbol displays at the far right of the Guest User page it indicates that the administrator can send the unauthenticated guest user an e-mail invitation to create an account. For more information about this invitation, see Filter Users and their Profiles

FS Users

Use this tab to search for ACS Facility Scheduler users. Enter a User Name, then click Go.

 To link an ACS Facility Scheduler login to an individual in your Access ACS Database
  1. Point to Admin, then click Security.
  2. Click the FS Users subtab.
  3. Enter a User Name, then click Go. Or locate the Other User manually.
  4. Click  for the ACS Facility Scheduler User to link.
  5. Click Select user from People  records.
  6. Enter the Last Name and  First Name/Goes By Name for the individual to link to, then click Run  Search.
  7. Click the Name of the individual.
  8. Make sure the user information supplied is correct, then click Save.
