Here are some examples of situations to help you determine how often you should apply change requests and upload change requests and small groups.

 Situation One

In the first situation, your organization operates within the following parameters:

  • ACS People is the only source of entry for your information.
  • Access ACS is used for viewing purposes only.
  • You are not currently using Small Groups.
  • You have added new information such as individuals, attendance, and contributions.

You should perform an upload at least once a week unless you make changes frequently, then you should be uploading more than once a week or even once a day. You can set up Access ACS to run an upload for multiple days. For more information about setting up uploads, see Uploading Your ACS Records.

 Situation Two

In the second situation, your organization operates within the following parameters:

  • Access ACS is updated more frequently than ACS People.
  • Small Groups is not currently in use.
  • You have added new information such as individuals, new families, connections, and attendance.

You should review and apply any change requests daily. You should perform an upload at least once a week unless you make changes frequently, then you should be uploading more than once a week or even once a day. You can set up Access ACS to run an upload for multiple days. For more information about setting up uploads, see Uploading Your ACS Records.

 Situation Three

In the third situation, your organization operates within the following parameters:

  • Access ACS is updated more frequently than ACS People.
  • Small Groups is in use.
  • You have added new information such as individuals, new families, connections, and attendance.
  • You have made any of the following changes in Small Groups: create/modify groups, change roster, or mark attendance.

You should review and apply change requests daily. You should perform an upload at least once a week unless you make changes frequently, then you should upload more than once a week or even once a day. You can set up Access ACS to run an upload for multiple days. For more information about setting up uploads, see Uploading Your ACS Records.

Small Groups in ACS People needs to be updated. To update Small Groups, click Maintain or Update in the Group Setup window. For more information, see Small Groups.

 Situation Four

  • Small Groups is used within Access ACS.

Change Requests must be completed before you attempt an upload. This makes sure you are uploading the most up-to-date and accurate information between your applications.
