User profiles are sets of security rights and permissions that establish the areas users can access. All users except system administrators must be assigned a user profile. Access ACS provides four default user profiles:

If necessary, users with the appropriate rights can create new user profiles to fit the needs of your organization. For example, if members of your organization frequently volunteer in your church office, you can create a new user profile for volunteers and assign it to all users who volunteer in the office.

 To add a user profile
  1. Point to Admin, then click Security.
  2. Click the User Profiles tab.
  3. Click Add New Profile.
  4. In the Name field, enter the name of the user profile.
  5. If necessary, enter a Description of the user profile.
  6. In the Profile Type drop-down list, select the type of profile that you want to create.
  7. To continue to the next step, click Next.

Naming and Describing a User Profile

Although you can customize the security rights and permissions for the new user profile, you must base the new profile on a default Access ACS profile. You can customize the security rights and permissions later in the process.

 To customize the profile
  1. Enter the Name of the profile.
  2. If necessary, enter a Description.
  3. In the Profile Type drop down list, select the type of user profile that you want to create.
  4. To continue to the next step, click Next.

Setting Function Permissions for a User Profile

After you name the new user profile and select the user profile type, you must select the user profile function permissions. Function permissions determine which actions users can perform while working in Access ACS. While these are defaults, you can also customize a specific person's permissions. 

 To set function permissions
  1. Under User Profile Function Permissions, select one of the following options for each function:
    • Grant Rights
    • Deny Rights
  2. Select each individual function you want to grant or deny access to. Or, you can click Select All in either column and automatically mark every function permission.
  3. To continue to the next step, click Next.

Setting Data Permissions for a User Profile

After you set the function permissions, you must select the data permissions for the user profile. Data permissions determine what information users can access while working in Access ACS.

 To set the data permissions
  1. Under User Profile Data Permissions, select one of the following options for each data permission:
    • Full Rights
    • View
    • None
  2. Select the specific data you want to grant rights to. Or, you can click Select All in any of the columns and automatically mark specific access for each.
  3. Click Save.
