If there are potential matches for the guest user in your database, the View Matches button displays on the Guest Users tab in the Guest User row.

If you click View Matches, a list of potential merge matches from your database displays. This list includes the name of of the potential match, the family position, address, e-mail address, and the match percentage for the record.

If none of the potential matches are the one you are looking for, you can locate an individual in your ACS database to merge with the Guest User. To locate an individual to merge the Guest User with, enter a Last Name and First Name, then click Run Search.

To create an entirely new record for the individual, click Add as new Record.

If there are no potential matches for the guest user in your database, you can do one of the following:

  • Enter a Last Name and First Name, then click Run Search to use the search function to locate a record to merge the guest user with.
  • To create an entirely new record for the individual, click Add as new Record.
  • To return to the list of Guest Users, click Return to Guest Users.

If no suitable matches display and you can't locate one using the Run Search feature, you have can do one of the following:

  • To create an entirely new record for the individual, click Add as new Record.
  • To return to the list of Guest Users, click Return to Guest Users.

When copying registrants from an event to an activity, class, or small group, you can only copy those individuals with records in your system. Guests cannot be copied and will not be included in the roster you copy to.

However, you can convert guest records in your database by adding the guest record to ACS, then linking the record with an established family or individual record, or create a new record. Use the newly added user record for your group purposes.

Note

Guests that are registered by members are not considered guest users and cannot be added to the database through the Add to ACS process.

 To add a guest user as a new user record in your database
  1. Point to Admin, then click Security.
  2. On the Users tab, select the Guest Users sub-tab.
  3. Search for the individual by entering a full name in the search box, then click Go. You can also scroll through the list to locate the individual you want to add.
  4. After you locate the individual, in the right side of the row, click Add to ACS.
  5. Select Add to the database as a new family, then click Next.
  6. Make sure the required information is entered and correct, then click Submit.

The record displays after an administrator approves it.

Note

When using this option, remember that you must enter the head of household before adding any subsequent family members.

 To add a guest user to an existing family in your database
  1. Point to Admin, then click Security.
  2. On the Users tab, select the Guest Users sub-tab.
  3. Search for the individual by entering a full name in the search box, then click Go. You can also scroll through the list to locate the individual you want to add.
  4. After you locate the individual, in the right side of the row, click Add to ACS.
  5. Select Add to an existing family, then click Next.
  6. Enter the Last Name and First Name /Goes By Name you want, then click Run Search.
  7. Click the Name of the family you want to add the guest user to.
  8. Make sure all of the required information is entered and correct and click Submit.

The record displays after an administrator approves it.

 To link a guest user to an individual record in your database
  1. Point to Admin, then click Security.
  2. On the Users tab, select the Guest Users sub-tab.
  3. Search for the individual by entering a full name in the search box, then click Go. You can also scroll through the list to locate the individual you want to add.
  4. After you locate the individual, in the right side of the row, click Add to ACS.
  5. Select Link to an individual in the database, then click Next.
  6. Enter the Last Name and First Name /Goes By Name you want, then click Run Search.
  7. Click the Name of the family you want to add the guest user to.
  8. Follow the onscreen instructions to compare the two records before merging, then click Yes.

The record displays after an administrator approves it.

Useful Information

  • On the activity, class, or small group selections page, the total number of guest registrants displays in the right corner of the Individuals to copy to the selected group(s) grid.
  • The total number of registrants included in the individuals you selected to copy displays next to the Guest Registrant(s) found link.
  • To display a pop-up menu containing a list of the guest registrants names and available e-mail addresses, click Guest Registrant(s) found.
  • To e-mail yourself a copy of the list, click E-mail Me This Information.
  • #Logins displays the number of times the guest user has logged into Access ACS. # Events displays the number of events the guest user has registered himself for, and # Gifts displays the number of gifts the guest has given.
