If you have the Connections module, you can add contact information when an individual or family makes contact with your organization or when your organization makes contact with an individual or family. These contacts display on the Connections tab in View/Edit Individual. To add contact information, you must have security rights to Add/Edit Contacts in the Connections module.

For example, suppose your organization wants to personally call all first-time guests within 48 hours of their first visit. Once you add a first time guest's record in ACS, you can add an outward connection for that individual and assign it to a specific member (Caller) or Team to follow up with the guest. Once the first-time guest has been contacted, you can mark the connection as Complete.

 To add contact information in the People module
  1. Under Manage Records, click the People tab.
  2. In the drop-down list, select View/Edit Individual and click Go .
  3. In the Find Person window, select the individual you want to add contact information for and click View/Edit.
  4. Click on the Connections tab and select or enter the necessary information.
  5. Under Contacts, click Add and enter all appropriate settings for the contact.
  6. When finished, click OK.

Family Sub-Tab


Last Inward
Displays the date of the last recorded contact that the family made to your organization.

Last Outward
Displays the date of the last recorded contact that your organization made to the family.

Review Date
Select the date to review whether the appropriate actions have occurred in the record. Using a review date ensures that you keep contact with members and prospects.

Special Instructions
Enter special instructions to a caller or team in this field. Family special instructions display on both the family profile and individual profile.

Individual Sub-Tab


Last Inward
Displays the date of the last recorded contact that the individual made to your organization.

Last Outward
Displays the date of last recorded contact that your organization made to the individual.

Review Date
Select the date to review whether the appropriate actions have occurred in the record. Using a review date ensures that you keep contact with members and prospects.

Prospect Source
Prospect source helps to know how you first received the individual or family name. The options, such as Newspaper ad, Special Services, Purchased Mailing Lists, and so on, are set up in Define Lists in either the People or the Connections module.

Not Defined
This field provides space to assign someone in the church to work with this individual. Click Lookup to assign someone to work with this individual. To rename or define the field, double-click on Not Defined.

Special Instructions
Enter special instructions to a caller or team in this field.

Complete
Select this option to mark a contact complete.

Individual
Select this option to record as an individual contact.

Family
Select this option to record as a family contact.

Inward
Select this option to show that the individual contacted your organization.

Outward
Select this option to show that a member of your organization contacted the individual or family.

Date
Select the date the contact was made.

Type
Select the contact description from the drop-down list (For example, Home Visit). To change the field's name or definitions, double-click on Type.

Age Group
Select the age group for the contact. This field is optional and user defined. To change the field's name or definitions, double-click on Age Group.

Comment
Enter notes or comments about the contact. This field is optional.

Add Another
Select this option to add another contact after the one you're currently adding to the same individual or organization.

Add/Edit Contact Buttons


Assign Template
Click to assign a template to the contact. Templates are set up in Define Lists.

Select Caller
Click to assign a caller to the contact record. This opens the Select Callers window.

Select Team
Click to assign a Contact Team (a group of callers who make contacts together as a team) to the contact record. Contact teams are set up in Define Lists.

Responses Tab


This tab is only available when a contact is marked complete.

Available Responses
Select the response you want to add to the contact record from this list.
